The pay is $12.25 per hour. Will go up to $13/hr after the probationary period.The hours are 9-6 Monday-Friday.
Downtown law firm in OKC is seeking a professional, friendly,energetic employee with a good work ethic for a very busy and demanding job.
Responsible for performing clerical and administrative duties in an office setting. Assists paralegals and secretaries by sorting mail, filing,answering phones, greeting clients, setting up meetings, and restocking supplies. Perform opening or closing duties when applicable.
Utilize Outlook email account continuously throughout the day to receive assignments and requests. Email, reply to all, after completing projects / assignments.
Utilize daily calendar in Outlook and check it frequently for changes in meetings scheduled.
Set up conference rooms for meetings and make sure they are stocked as needed,including beverages, ice, utensils and IT equipment, as needed. Clean conference rooms immediately following meetings.
Sort and distribute the mail, correctly determining the destination of all incoming mail; Send items for docketing to docketing / file clerk.
Distribute deliveries throughout the day as requested by the receptionist or other staff and attorneys.
Conduct office rounds each hour to pick up mail, copy and scanning jobs, etc. Retrieve files and supplies for staff/attorneys as requested. Complete assignments as given during the rounds.
Prepare coffee and tea throughout the day and for meetings. Stock coffee service areas with supplies.
Restock fridge with water and sodas as needed.
Operate office machines, such as photocopiers and scanners, facsimile machines, voicemail systems and computers.
Troubleshoot malfunctioning office equipment and fix as appropriate, or call for repair or assistance.
Prepare outgoing mail, including weighing, affixing correct postage, logging postage and taking mail to post office.
Prepare FedEx packages as requested, including preparing shipping label with correct shipment and billing information.
Contact IT for computer or Copitrak assistance.
Restock East and West Work Rooms with printing paper, ink, pens, paper clips, staplers,files and folders, and correction fluid. Give notice to office manager when supplies are running low.
Make court runs and file papers with the court as requested.
Maintain the cleanliness of both break areas including wiping down counters, tables and sinks, washing dishes or loading and unloading the dishwasher, straightening counters and cabinet contents as needed.
Run errand sand make local deliveries as requested.
Fill in for receptionist as needed: Answer phones and greet clients warmly; Reroute calls to appropriate people; Answer inquiries about company; Take and deliver messages.
Assist in filing duties as requested.
Represent the firm in a professional manner at all times, when working with clients, in dealings with outside entities and situations with fellow employees.
Performs additional duties as assigned.
